Mimecast for Outlook: Managing Secure Messages

Once a message has been sent using Mimecast Secure Messaging, a number of management tasks are available for it in your Microsoft Outlook client.

 

Viewing a Message's Secure Messaging Information

 

To view a message's secure messaging information:

  1. Open Microsoft Outlook.
  2. Open your Sent Item folder.
  3. Select and open the message sent via Mimecast's secure messaging.
    Opening the message is important, as the functionality below is not available in the Microsoft Outlook reading pane.
  4. Click on the Secure Message Status bar. Information about the message is displayed.

The message's information is displayed on the right hand side. The Secure Message Definition used to send the message is displayed above a series of columns that contains the following information:

Icon / ColumnDescription
Read IconIndicates if the message has been read by the recipient.
Active IconIndicates if the message is still active (i.e it has not expired).
Information Icon

If you hover over the icon, a popup is displayed containing information about what the recipient can do with the message. For example:

Expiry DateDisplays the expiry date of the secure message.

 

Extending a Message's Expiry Date

 

To extend a message's expiry date:

  1. Follow the steps above to display a secure message's information.
  2. Click on the Extend Expiry button. The Extend Expiry Date dialog is displayed.
  3. Specify a New Expiry Date by either:
    • Clicking the Extend Secure Message icon to select a date from a calendar.
    • Manually entering the required date.
  4. Click on the Set Expiry Date button.

 

Recalling a Message

 

To recall a message:

  1. Follow the steps above to display a secure message's information.
  2. Click on the Recall Mesage button. A confirmation dialog is displayed.
  3. Click on the OK button.

 

When a message is successfully recalled, the status of the "Active" column displays a different icon. Additionally any expiry date set is removed. For example:
