Create a graymail Outlook rule

This article describes the configuration steps to move emails identified as Graymail to a specified folder in Microsoft Outlook. In order for this rule to be effective, the Spam Scanning definition must also be configured in the Administration Console.

Outlook 2010

  1. Right click on your Outlook inbox. A popup menu is displayed.
  2. Select New Folder from the menu.
  3. Type Graymail in the Name field.
  4. Click the OK button
  5. Click on the File menu in the Outlook toolbar.
  6. Click Manage Rules & Alerts.
  7. Click New Rule.
  8. In the section labeled Start from a blank rule, select Apply rule on messages I receive.
  9. Click the Next button
  10. In step 1 of the Rules Wizard, tick the box labeled with specific words in the message header.
  11. In the bottom section of the window (labeled Step 2), click the blue text for specific words.
  12. In the pop-up box labeled Specify a word or phrase to search for in the message header, type the following text EXACTLY as shown:  X-Mimecast-Bulk-Signature: yes
  13. Click the Add button.
  14. Click the OK button.
  15. In the Rules Wizard, click Next.
  16. In step 1 of the Rules Wizard window, tick the box labeled move it to a specified folder.
  17. In step 2 of the Rules Wizard window, click the blue specified text.
  18. In the pop-up Rules and Alerts window, click to select the Graymail folder you created in step one.
  19. Click the OK button.
  20. Click the Finish button to return to the Rules and Alerts screen.
  21. Click OK to activate the rule and return to Outlook

Mail tagged as bulk by Mimecast will now automatically be moved to the Graymail folder when received in Outlook.

Outlook 2013

  1. Right-click on your Outlook inbox.
  2. Select New Folder from the menu.
  3. Type Graymail as the folder name.
  4. Press the Enter key on the keyboard to save the folder
  5. Click on the File menu in the Outlook toolbar.
  6. Click Manage Rules & Alerts.
  7. Click New Rule.
  8. In the section labeled Start from a blank rule, select Apply rule on messages I receive.
  9. Click the Next button.
  10. In step 1 of the Rules Wizard, tick the box labeled with specific words in the message header.
  11. In the bottom section of the window (labeled Step 2), click the blue text for specific words.
  12. In the pop-up box labeled Specify a word or phrase to search for in the message header, type the following text EXACTLY as shown:  X-Mimecast-Bulk-Signature: yes
  13. Click the Add button.
  14. Click the OK button.
  15. In the Rules Wizard, click Next
  16. In step 1 of the Rules Wizard window, tick the box labeled move it to a specified folder.
  17. In step 2 of the Rules Wizard window, click the blue specified text
  18. In the pop-up Rules and Alerts window, click to select the Graymail folder you created in step one.
  19. Click the OK button.
  20. Click the Finish button to return to the Rules and Alerts screen.
  21. Click OK to activate the rule and return to Outlook

Mail tagged as bulk by Mimecast will now automatically be moved to the Graymail folder when received in Outlook.
