Administrators can configure a task to archive IMs from Lync. Scheduled tasks are executed according to the local time of the server on which each Mimecast Synchronization Engine instance is installed.

 

Mimecast supports the capture of Lync / Skype for Business content directly from the "Lync Server Archiving database". Microsoft determines which content types are archived to the archive database. You can read more about what content types can and cannot be archived on the "How Archiving works in Lync Server 2013" page on the Microsoft website.

 

Walkthrough

 

To schedule a task:

  1. Log on to the Administration Console.
  2. Click on the Administration menu item.
  3. Select the Services | IM Archive menu item.
  4. Click on the New IM Archive Task button. A wizard is displayed to configure the connection properties:

    DescriptionEnter a suitable description for this export.
    Archive Email Address

    Specify the user account used to bind the Mimecast Synchronization Engine site. Use the clear icon to remove the selected address from the field.

    This address is used to store the messages in the Mimecast archive, and can be used to search the archive for the IM data.
    SQL Server InstanceSpecify the FQDN of the SQL Server instance.
    Database NameSpecify the Lync IM archive database name within SQL.  By default, the database name is LcsLog.
    Authentication TypeSpecify the type of SQL Authentication that the user should use to access the database. The options are:
    • Integrated Windows Authentication (IWA)
    • SQL Authentication (Username and Password)

    Additional SQL Connection ParametersAllows for the configuration of connection specific parameters, such as Packet Size, Server Version, Connection Timeout, State or Statistics Enabled. Example values could be: Connection Timeout = 60; Packet Size = 512
  5. Click on the Next button to continue.
  6. Select the appropriate Synchronization Engine Site that should be executing the task:

  8. Configure the Task Schedule to determine the frequency that the task should run:
    • Once Off Time: Schedules a task to run once only at a date and time of your choice.
    • Daily: Schedules a task to run daily at a time of your choice.
    • Weekly: Schedules a task to run weekly on specified days and at a time of your choice.
    • Monthly: Schedules a task to run monthly at a day and time of your choice.
  9. Click on the Finish button.

 

One Off Task Settings

 

Field / OptionDescription

Schedule TypeSelect Once Off Time from the dropdown list.
Once Off TimeSpecify the required date and time for the task.

 

Daily Task Settings

Schedule Type (Schedule Properties)Select Daily from the dropdown list.
Date RangeSpecify the required date range during which the task will run. Select the Eternal option to ensure the task runs every day until the option is disabled.
Schedule Type (Daily Settings)

Select whether the task will run:

  • Once: If selected the task runs once only at the time specified in the Start Time field.
  • Many: If selected, the task runs at intervals specified in the Interval (Minutes) field between the times specified in the Start Time and End Time fields.
    The minimum interval that can be specifed is 15 minutes.

 

Weekly Task Settings

Select whether the task will run:

  • Once: If selected the task runs once only at the time specified in the Start Time field.
  • Many: If selected, the task runs at intervals specified in the Interval (Minutes) field between the times specified in the Start Time and End Time fields.

Month Day Type

Select the pattern for the day that the task will run:

  • Numbered: If selected, specify the Day of the Month the task will run.
  • Named: If selected, specify the First, Second, Third, Fourth, or Last day of the month on which the task will run.

 

Changing IM Archive Tasks

 

To change an IM archive task:

  1. Log on to the Administration Console.
  2. Click on the Administration menu item.
  3. Select the Services | IM Archive menu item.
  4. Click on the IM Archive Task List button.
  5. Select the required task.
  6. Change the task as required.
  7. Click on the Save and Exit button.

 

Deleting an IM Archive Task

 

To delete an IM archive task:

  1. Log on to the Administration Console.
  2. Click on the Administration menu item.
  3. Select the Services | IM Archive menu item.
  4. Click on the IM Archive Task List button.
  5. Select the required task.
  6. Click on the Remove Task button.
