Configuring / Editing Cloud Archive for Lync IM Tasks

To configure a new task, four steps must be completed.  These steps are outlined in a wizard-style process as outline below:

 

  1. Click the New IM Archive Task button. The first step is to configure the connection properties for the Lync IM definition, as describe below:

    The Mimecast User account used to bind the Mimecast Synchronization Engine site. Use the clear icon to remove the selected address from the field

     

    Note: This address is used to store the emails in the Mimecast archive, and can be used to search the archive for the IM data

    SQL Server InstanceThe FQDN of the SQL Server instance
    Database NameThe Lync IM Archive database name within SQL.  By default, the database name is LcsLog
    Authentication Type

    The type of SQL Authentication that the Mimecast user should use to access the database.  The options are:

    - Integrated Windows Authentication (IWA)

    - SQL Authentication (Username and Password)

    Additional SQL connection parametersAllows for the configuration of connection specific parameters, such as Packet Size, Server Version, Connection Timeout, State or Statistics Enabled. Example values could be: Connection Timeout = 60; Packet Size = 512
  2. Once the appropriate options are configured, click the Next button to continue.  To return to the previous step, click the Previous button

    To return to the IM Tasks landing page, click the Go Back action button on the grey toolbar at the top of the screen. It is important to note that all progress in configuring this IM Task will be lost.

  3. The second step is to identify the appropriate MSE site that should be executing the new task:

  4. Click the Next button to continue once you have selected the appropriate Site
  5. Step 3 is used to configure the task Schedule.  The schedule determines the frequency that the task should run on the MSE site:

  6. Enter a meaningful description for the Schedule Definition.  A good example of a meaningful description would be: Daily Schedule with 4 hour Intervals, weekdays only
  7. Select the Schedule Type to use. Changing the Schedule type will change the definition screen, providing additional options based on the selected type:
    1. Once Off Time will only run once on the date and time entered into the Once Off Setting fields, as shown in the screenshot above

      Once: the task will run once daily at the time specified

      By default, the end date range is set to Eternal.

    2. Daily allows Administrators to specify tasks to run once per day or many times per day for the configured Date Range

      Many: The task will run at regular intervals. A start time and end time can be configured as well as an interval period (in minutes) as to when this schedule should run.  The task will run from 00:00 until 23:59 by default.

      The minimum interval for task schedules is 15 minutes.

      Times are shown in 24-hour clock format.  The schedule is executed according to the local time of the server on which each Mimecast Synchronization Engine instance is installed.

    3. Weekly allows individual days to be selected, and then the Daily Settings option provides the option for once or many times per day for the configured date range
      Once: the task will run once daily at the days and time specified

      By default, the end date range is set to Eternal.

      Many: The task will run at regular intervals on the days specified. A start time and end time can be configured as well as an interval period (in minutes) as to when this schedule should run.  The task will run from 00:00 until 23:59 by default.

      The minimum interval for task schedules is 15 minutes.

    4. There are two options when using the Monthly schedule type. This can either be set to run Monthly based on a
      date each month, or monthly based on a day each month

      Monthly: Named Day Type

      To set a schedule to run on the same date every month

      - Set Month Day Type under Monthly Settings to Named
      - Day Named As specifies first, second, third, forth or last, i.e second Friday of each month
      - Select the day of the week that the schedule should run under Day of the Month (i.e. Monday through to Sunday)

      To set a once a day schedule, simply select a schedule type of Once under Daily Settings and enter the required start time.

      To set a schedule to run at regular intervals through the day, select a schedule type of Many:

      Monthly: Numbered Day Type

      Selecting the Monthly Schedule Type from within Schedule Properties allows the ability to specify which month, which day of the month, and what time for your schedule.

      To set a schedule to run on the same date every month:

      - Set Month Day Type under Monthly Settings to Numbered
      - Select the required date, 1 to 31

      To set a once a day schedule, simply select a schedule type of Once under Daily Settings and enter the required start time.

      To set a schedule to run at regular intervals through the day, select a schedule type of Many:

  8. Once the schedule details have been configured, click the Next button to continue
  9. Step 4 displays a summary of the IM Archive Task:

  10. Review the information for the task, then click the Finish button to save the task.

 

Editing Existing IM Archive Tasks

 

Navigate to the Services | IM Archive menu, and within the Recent Activity widget, click on the appropriate task to be modified:

Click the View All link to display a list of all IM Archive Tasks.  Alternatively, click the IM Archive Task List button in the grey toolbar at the top of the screen.

The task information is displayed within three separate accordion menus.  By default, the What menu has been expanded:

Click on the appropriate menu to expand and contract each section, and make the modifications as required.  Once complete, click the Save and Exit button on the toolbar to save the changes.

Click the Remove Task button to delete the task and the associated information.

What Information Can Be Archived?

 

Mimecast supports the capture of Lync / Skype for Business content directly from the "Lync Server Archiving database".  Microsoft determines which content types are archived to the archive database. You can read more about what content types can and cannot be archived here.
