Messages listed in the Accepted Email dialog are those that have not been archived yet. Messages can remain there from anything between two to six hours. During this time, messages are compressed, encrypted, and indexed before being moved to the Archive on the Mimecast Storage Grid. Alternatively an email may remain in the Accepted Emails queue until it reaches it’s final state (i.e. successful delivery or bounced). An example is a message in the Hold Review Queue and therefore not been delivered to the intended recipient, or a message in the Delivery Queue on retry. Once the message is released from the Hold queue, or the message on retry has been successfully delivered, the messages reach their final state and are archived.

 

Recently handled messages are not present in the archive until they have been fully processed into their final state. The final state indicates that the message has either completed its delivery, or bounced. During this time, the Administrator can still access the metadata and SMTP transmission information for these messages, but complex searches are not available until the emails have been indexed and archived.

 

It may take several hours for an email in Accepted Emails to be processed into the Archive. Messages that are currently On Hold or are pending delivery will also be available in Accepted Emails, as their delivery has not yet completed. Once a message has completed the processing cycle, it is automatically removed from the Accepted Emails view and is available in the Archive.

An accepted message is not archived if it has a retention period of three days or less, but remains in the Accepted Email queue until it expires.

Accessing Your Accepted Messages

 

To access your accepted messages:

  1. Log in to the Administration Console.
  2. Click on the Administration toolbar button. A menu drop down is displayed.
  3. Click on the Gateway | Accepted Email menu item. The list of accepted messages is displayed.
    The Search field can also be used to run basic text searches on the listed items. For example, enter an email address, domain, or word from a subject to search on.

 

The list contains the following information:

Mail Flow Direction

Indicates the mail flow direction by one of the following icons:

An external message (i.e. both the sender and recipient email addresses are external).
AttachmentsIf the message contains any attachments, an Attachments Icon icon is displayed.
Message SizeDisplays the message's total size, including any attachments.
DateDisplays the date and time that the message was sent.
Message Status

Indicates the message's status by one of the following icons:

Delivery is pending due to either being held (Hold Queue), or being re-tried for delivery (Delivery Queue).
We have successfully delivered the message either via a routing rule (inbound), MX resolution (outbound), or via the Journaling process (Internal). The message is currently being processed into its final state in the archive.
Indicates the message has been uploaded to Mimecast from the customer's mail server using a Journal Connector. The message is currently being processed into its final state in the archive.
These are emails which have failed delivery, and have been bounced.
By default, Accepted Emails are displayed for the current day only. Use the Calendar Controls at the top of the page to view messages older than the current day that are still being processed by Mimecast. This would include emails that are in the Hold queue or Delivery Queue.

Viewing Accepted Messages / Metadata

 

You can open a message from the displayed list, but what is displayed depends on the permissions you have. The full content of the message is displayed to Administrators. Only the headers of a message is displayed to everyone else. 


To open a message:

  1. Click on the View button.
  2. Select either the:
    • View Transmission Body menu item.
    • View Transmission Data menu item. This verifies the message's delivery status. It also displays additional information, including the email servers involved in the transmission, dates and times of delivery, and the message components.


Both the receipt and delivery views contain additional information regarding email policies applied, transmission data, and transmission body. This information can be seen by using the dropdown view menu or the toggle icon to switch between delivery and receipt views.

The receipt and delivery views are taken from a Mimecast perspective. This means every message has both a receipt and delivery view. This shows how Mimecast accepted the email, and how Mimecast delivered the email.

For each message, a list of the policies applied when it was processed is also available. Click the View | View Email Policies menu item from the drop-down menu. This information can be very useful when troubleshooting what happened to a message, or why it has been handled in a certain way. For example, if you have multiple signatures in your environment, and wanted to see why a message has a certain signature appended, you can review which policies were applied, and then troubleshoot the Stationery Assignment policies as required.

 

Exporting the Accepted Messages List

 

To export the list of accepted messages:

  1. Click on the Export Data button.
