You can manage your own list of addresses and domains in Mimecast for Outlook that are blocked, permitted, and automatically allowed. This is all achieved from your Managed Senders view. This view provides functionality to:

  • Filter entries
  • Add entries
  • Delete entries

 

To open the Managed Senders view:

  1. Click on the Mimecast ribbon.
  2. Click on the Managed Senders icon in the Email Gateway section.

There are three distinct lists of addresses and domains in the Managed Senders view. Each list can be managed separately:

 

Managed Senders ListDescription
Auto PermittedThe sender addresses and domains that are automatically added to your permitted list, by virtue that they are specified in an Auto Allow policy.
BlockedThe sender addresses and domains that have been manually added to your blocked list (e.g. they've been flagged as spam).
PermittedThe sender addresses and domains that have been manually added to your permitted list.

 

With the Managed Senders view open, you can perform the actions listed below. See the relevant section for your Mimecast for Outlook version for further details.

Filtering the Managed Senders View

 

Managed Senders View FilterTo filter one of the lists in the Managed Senders view:

  1. Type into the Filter box. The list is automatically refreshed as you type.
  2. Click in the Show drop down to filter the list by:
    • All Items
    • Addresses Only - Signified by the Address Icon icon.
    • Domains Only - Signified by the Domain Icon icon.

 

Removing an Auto Permitted Sender

As auto permitted senders are added to this list because they are referenced by an Auto Allow policy, it is best to get your Administrator to review these policies before removing a sender.

To remove a sender's address or domain from your auto permitted senders list:

  1. Click on the Auto Permitted tab in the left hand pane.
  2. Click on the Remove button to the right of the required address / domain.

Adding a Blocked Sender

 

Add Blocked SenderTo add a sender's address or domain to your blocked senders list:

  1. Click on the Blocked tab in the left hand pane.
  2. Click on the Add Blocked button. The Add Blocked Senders and Domains dialog is displayed.
  3. Type the address or domain into the text box.
  4. Click on the Add button. The address / domain is displayed in the list.
  5. Repeat steps 3 and 4 for other addresses / domains.
    You can enter multiple addresses / domain by separating them with a space (e.g. user1@domain.com user2@domain.com domain.co.uk).
  6. Click on the Block button.

 

Permitting a Blocked Sender

 

To remove a sender's address or domain from your blocked senders list, and add it to your Permitted Senders list:

  1. Click on the Blocked tab in the left hand pane.
  2. Click on the Permit button to the right of the required address / domain.

Adding a Permitted Sender

  1. Click on the Permitted tab in the left hand pane.
  2. Click on the Add Permitted button. The Add Permitted Senders and Domains dialog is displayed.
  3. Type the address or domain into the text box.
  4. Click on the Add button. The address / domain is displayed in the list.
  5. Repeat steps 3 and 4 for other addresses / domains.

  6. Click on the Permit button.

 

Trusting a Permitted Sender

 

If you've dynamic configuration enabled as as part of Targeted Threat Protection - Attachment Protect, you can add users from your permitted senders list to your trusted senders list. See the Configuring an Attachment Protection Definition page for further details.

 

To trust a permitted sender:

 

  1. Click on the Permitted tab in the left hand pane.
  2. Click on the Trust button next to the required address.

To remove a sender's address or domain from your permitted senders list:

  1. Click on the Permitted tab in the left hand pane.
  2. Click on the Remove button to the right of the required address / domain.

Filtering the Managed Senders View

 

To filter the managed senders view:

  1. Click in the Filter box.
  2. Enter some text from an email address or domain.
  3. Click the ico_filter.png icon, or press Enter. The view is filtered, with the number of items found displayed in the bottom left hand corner of the view.

 

Adding a Blocked Sender

 

To add a blocked sender:

  1. Click on the Blocked tab.

  2. Click on the Add button.

  3. Enter the sender addresses and / or domains into the text box.
    Multiple entries must be specified on a separate line. For domains, omit the @ sign.
  4. Click on the OK button.

 

Adding a Permitted Sender

 

To add a permitted sender:

  1. Click on the Permitted tab.
  2. Click on the Add button.
  3. Enter the sender addresses and / or domains into the text box.
    Multiple entries must be specified on a separate line. For domains, omit the @ sign.
  4. Click on the OK button.

 

Removing an Entry

As auto permitted senders are added to this list because they are referenced by an Auto Allow policy, it is best to get your Administrator to review these policies before removing a sender.

To delete an entry form the blocked senders, permitted senders, or auto allowed senders list:

  1. Click on either the Blocked, Permitted, or Auto tab from the Managed Senders view.
  2. Click on the ico_delete.png icon for the relevant entry in the list.
  3. Click Yes in the pop-up confirmation box to delete the entry.
