Mimecast Awareness Training: A Module's Detail

This guide describes how administrators can access detailed information about a specific module. The module detail differs from the dashboard, which contains similar information, can the data relates to a specific module.

 

Accessing the Module Detail

 

The module detail displays different information depending on whether the start date has been launched. The status also controls what you can do with the detail displayed.

 

To access a module's detail:

  1. Click on the Modules toolbar button.
  2. Click on the scheduled module's Image in the module queue.

 

An Active Module's DetailActive Modules

 

With a scheduled module that has already started (i.e. the start date has been reached) you can:

  • Display the module's performance statistics. A percentage value is displayed of the number of:

    • Targeted users who've completed the module.
    • Correct responses to the employee question.
  • Compare your company's performance statistics against other companies in the same industry.
  • Change the email introducing the module. See the "Changing a Modules's Introductory Email" section below for full details.
  • Upload additional content to the module. See the "Uploading Custom Content" section below for full details.
  • View the animated GIF files displayed for correct and incorrect answers to the employee question. See the "Viewing / Changing Animated GIFs" section below for full details.
  • Play the module's video.
  • Display a module's employee question, and it's correct answer.

 

Inactive Module Detail

Inactive Modules

 

With a module that hasn't started (i.e the start date is in the future) you can:

  • Change the module's start date. See the "Changing a Module's Start Date" section below for full details.

  • Change the email sent to users introducing the module. See the "Changing a Module's Introductory Email" section below for full details.
  • Upload additional content to a Module. See the "Uploading Custom Content" section below for full details.
  • Preview the module from an end user's perspective. See the "Previewing a Module" section below for full details.
  • Change the animated GIF files displayed for correct and incorrect answers to the employee question. See the "Viewing / Changing Animated GIFs" section below for full details.
  • Display a module's employee question, and it's correct answer.

 

Changing a Module's Start Date

 

If a module hasn't started yet, you can change it's start date:

  1. Click on the Manage Schedule link. A calendar is displayed with the current start date selected.
  2. Select a new Start Date.
  3. Click on the Continue button.

 

Changing a Module's Introductory Email

 

Editing an EmailYou can change a module's introductory email sent to users:

  1. Either click on the:
    • View / Edit Email button in an active module.
    • Customize Email link in an inactive module.
  2. Click on the Edit button. The email is displayed in a text editor.
  3. Change the email as required including:
    • Adding images
    • Adding links
    • Text size, position, and formatting
    • HTML
    The email must contain the [platformlink] variable to link to the required module. If this isn't present, you'll be unable to complete this step.
  4. Click on the Update button.
  5. Click on the Close button.
When editing an email, the Reset to Default button can be used reset the text back to its default state.

Adding / Editing Images

 

You can add an image to an introductory email by:

  • Uploading an image to the Mimecast Awareness Training platform.
  • Linking to an external image.

 

To upload an image to the Mimecast Awareness Training platform:

  1. Position the cursor where the image is to be placed.
  2. Click on the Upload Image toolbar button.
  3. Either:
    • Drag and Drop the image into the dialog.
    • Use the Click Here to Browse link to select the required file.
    Any .PNG, .JPG, .GIF, or .BMP image can be used up to 1 MB in size
  4. Once the image has been added, you can change its properties using the steps for linking to an external image.

 

To link to an external image:

  1. Click on the Edit Image toolbar icon. The image's General properties are displayed:
  2. Complete the General tab as required:
    Field / OptionDescription
    SourceAdd an image's path. Ensure the path's accuracy to prevent issues.
    Image DescriptionWhilst not mandatory, it is best practice from an accessibility viewpoint to add an image description.
    WidthSpecify the width / height of the image. Values can be entered in pixels or as a percentage value (e.g. 75%). If the Lock Image Icon icon is displayed, changing the image's width or height changes the corresponding width or height by the same aspect ratio value.
    Click the icon to unlock the ratio aspect, allowing you to specify different ratio aspect values. The Unlock Image Icon icon is displayed.
    Height
  3. Click on the Advanced tab and complete as required:
    Field / OptionDescription
    StyleDisplays the image's CSS parameters as the other Advanced fields / options are specified. You can manually enter your CSS parameters, but ensure its accuracy to prevent issues.
    Vertical SpaceSpecify the vertical / horizontal space in pixels to be added as margins around the image.
    Horizontal Space
    Border WidthSpecify the width of the border in pixels to be added to the image.
    Border StyleSelect a border style from the drop down list.
  4. Click on the Save button.

 

 

You can add a link to text or an image in the introductory email:

  1. Select the Content to be linked.
  2. Click on the Link Icon toolbar icon.
  3. Complete the dialog as follows:
    Field / OptionDescription
    URLSpecify the link's URL.
    TitleSpecify a title for the link.
    Open Link InSpecify if the link is to open in the "Current Window" or "New Window".
  4. Click on the Save button.

 

Changing the Text Size, Position, or Formatting

 

To change the introductory email's text size, position, or formatting:

  1. Select the Text to be changed.
  2. Click on a Toolbar Icon to change the text's size, position, or formatting.

    Hover over an icon to display a tooltip of its functionality.

To clear formatting added to text:

  1. Select the Text to be changed.
  2. Click on the Clear Formatting Icon toolbar icon.

 

Editing the HTML / CSS

 

Source CodeTo change the introductory email's HTML / CSS:

  1. Click on the Source Code Icon toolbar icon to display the HTML editor.
  2. Amend the HTML / CSS as required.
  3. Click on the Save button to return to the WYSIWYG editor.

If editing a template's CSS, only inline CSS is supported. The <style> HTML tag cannot be used.

Uploading Custom Content

 

You can upload additional content to form part of a module (e.g. your compliance policy). This requires you to have a PDF file ready to upload with a maximum size of 5 MB. This file is displayed at the end of the module, just before the user's badge.

This only affects the selected module. See the Mimecast Awareness Training: Uploading Common Custom Content to Modules page for full details on adding custom content on all your modules.

To upload custom content to a module:

  1. Either click on the:
    • Upload button in the "Custom Content" section of an active module.
    • Upload Additional Content link in an inactive module.
  2. Click on the Upload File button.
  3. Viewing / Deleting custom contentDrag and drop the PDF into the Upload File dialog. A preview of the content is displayed.
  4. Click on the Accept button to add the custom content page.

 

Once the custom content has been added you can perform the following:

  • View the custom content file by clicking on the View File link.
  • Delete the custom content file by clicking on the Delete File link and confirm the file's deletion.

 

Viewing / Changing Animated GIFS

 

If a module is active, you can view the animated GIFs displayed following an employee answers the post tutorial question. If the module isn't active, you can change the GIFs used.

 

To view the animated GIFs on an active module:

  1. Click on the View button in the "GIFs" section of the module's detail.

 

To view or change the animated GIFs on an inactive module:

  1. Click on the Edit GIFs button in the "GIFs" section of the module's detail.
  2. Specify the Image URLs to use for both the correct and incorrect responses. These must be consistent with the default URLs, and publicly accessible from the Ataata platform.
  3. Click on the Update button.

    Clicking on the Reset button returns the values of both the correct and incorrect URLs to their default values. 

Previewing a Module

 

If a module hasn't started, you can preview it from the end user's perspective. It leads you through all the steps, including any custom content that has been added. Once you've completed all the steps, the preview ends and you're returned to the module summary.

 

To preview a campaign:

  1. Click on the Preview User Experience link.
